Who is responsible?

Which data do we process?
Depending on your use of the website and customer portal, we may process:
- name, company name, email address and telephone number;
- account and login details;
- vehicle details, including registration number, VIN, make, model and year;
- documents, quotations, messages and service requests you submit;
- technical information such as IP address, browser information, security logs and cookie preferences.
Please do not upload information that is not necessary for your request.
Why and on what basis?
We process data to answer enquiries, prepare quotations, carry out requested services, manage customer accounts and vehicle files, secure the website, comply with legal obligations and defend legal claims.
The legal basis is, depending on the situation: steps before entering into or performance of an agreement, compliance with a legal obligation, our legitimate interest in secure and efficient business operations, or your consent for optional analytics and marketing.
Sharing and international transfers
We only share data where necessary with hosting, email, IT and other service providers, professional advisers, authorities or parties involved in your vehicle assignment. These parties receive no more data than required and must protect it appropriately.
If a service provider processes data outside the European Economic Area, we use an applicable transfer mechanism and appropriate safeguards where required.
Retention
We do not keep personal data longer than necessary. Contact requests and unsuccessful proposals are normally retained for up to two years after the last contact. Account, vehicle and assignment files are retained for the duration of the relationship and afterwards only as long as necessary for handling, claims or legal duties. Financial administration is generally retained for seven years. Security logs and cookie consent records are kept for a limited period appropriate to their purpose.
Your rights
You may request access, correction, deletion, restriction, transfer or objection where the AVG/GDPR provides that right. You may withdraw consent at any time without affecting earlier lawful processing. Use “Cookie preferences” for cookie consent or contact info@nordlane.nl. We may ask for information to verify your identity.
You may also lodge a complaint with the Dutch Data Protection Authority.
