Clear agreements.
1. Scope and assignment
These terms cover vehicle registration, import and export support, purchase assistance, registration-document services, valuation, advice and agreed transport. Only services listed in the quotation form part of the assignment. When providing purchase assistance, Nordlane is not the vehicle seller unless expressly agreed otherwise.
2. What is agreed in advance?
The quotation identifies the vehicle and VIN, destination, work, price and VAT, payment stages, advances and excluded costs. It also states who performs transport and who contracts to provide it: Nordlane or a named external carrier. The activities actually performed also determine the applicable legal responsibilities.
3. Acceptance and documents
The customer receives these terms as a downloadable PDF before accepting the quotation. After acceptance, the customer receives the accepted quotation and the same version of the terms as separate PDFs. Individually agreed provisions take priority insofar as legally permitted. Accepted terms are not unilaterally replaced afterwards.
4. Customer information
The customer is authorised to give instructions and supplies accurate ownership, vehicle and registration documents and required authorisations. Known damage, defects, modifications, finance interests, seizure, missing documents and restrictions must be disclosed before work starts. Nordlane reviews the information with due care and requests clarification where necessary.

Ready for a safe departure.
5. Legal requirements and approval
A vehicle driven on public roads must meet the applicable requirements in every country on the route. These depend on factors including vehicle category, first-registration date, approval route and lawful exemptions. A registration assignment does not itself make an unapproved vehicle lawful to drive. Nordlane checks whether a driven transfer is permitted; otherwise suitable carriage as cargo is agreed.
6. Checklist for driven transfers
Brakes, parking brake, steering, wheels and suspension must function safely. Tyres must have appropriate dimensions, load capacity and pressure, without bulges, exposed cords or dangerous damage. Lighting, indicators, mirrors, glazing, wipers, seat belts and installed mandatory safety systems must meet the applicable requirements. There must be no dangerous leaks, loose components or structural damage. Safety warnings and faults must be reported and assessed before departure.
7. Additional Nordlane requirements
For driven transfers, Nordlane requires a contractual safety margin of at least 3.0 mm tread in the main grooves of every tyre in use; stricter local or winter requirements still apply. The battery must be securely mounted and adequately charged, starting and restarting reliable, and the charging system functional. Fuel or range must cover the agreed journey with a reserve. These are additional acceptance conditions, not a general EU statutory 3 mm limit.
8. Trailer or vehicle-transporter carriage
A vehicle that is not roadworthy may only be carried as cargo following disclosure and express agreement. The carrier assesses rolling, steering, braking, ground clearance, weight, winching and securing points. Non-running vehicles and damaged high-voltage batteries require a separate advance safety and transport plan. Applicable local rules also govern loading and unloading.
Legal framework
Directive 2014/45/EU provides a framework for periodic roadworthiness testing. Directive 89/459/EEC specifies a 1.6 mm minimum tread depth for certain light vehicle categories. In the Netherlands, applicable vehicle regulations and RDW requirements also apply. Type and individual approval are governed in part by Regulation (EU) 2018/858 and applicable safety rules.
Insurance and condition records.
9. Insurance before road use
Nordlane arranges legally required motor third-party liability cover for driven transfers it provides, normally using trade, temporary or export registration. Before departure, Nordlane checks registration and cover for the vehicle, driver, use, period and countries on the route. No driven transfer takes place without appropriate authorisation and cover. The customer does not need to arrange this transport liability cover. Other statutory insurance duties resting on the customer remain applicable.
10. Additional insurance arranged by the customer
The customer arranges and maintains additional insurance for the vehicle itself, such as own-damage or cargo cover. Nordlane does not arrange this unless otherwise agreed in writing. Before collection or movement, obtain written confirmation of the insured value, drivers, countries and operations, including loading, unloading and storage. Without Dutch registration, ask about additional VIN-based cover. Acceptance and cover are determined by the insurer.
11. Damage to the customer’s own vehicle
Nordlane’s transport motor liability cover does not cover damage to the transported vehicle itself. The customer bears the uninsured risk arising from absent or insufficient additional cover, including applicable exclusions and deductibles, to the extent that loss cannot legally be recovered from Nordlane or another liable party. This does not release Nordlane from liability for its own attributable errors or mandatory obligations. For carriage as cargo, the carrier’s insurance is also checked; it does not automatically cover the full vehicle value.
12. Photographs and handover report
At collection, we photograph the vehicle before moving or loading it, including visible damage, wheels, glazing, interior, odometer and identification where accessible. We take another set after the technical inspection and carry out a handover check on return. For an arranged purchase, the first damage record is made at the seller’s premises before transport. Visible discrepancies are recorded on the handover document when an external carrier takes custody.
13. Limits of the photographic record
Photographs record visible condition and do not replace a technical pre-purchase inspection. Dirt, lighting, moisture or inaccessible areas may conceal damage; limitations are recorded. The report is available in the customer dossier. Photographs are evidence, not conclusive proof that no other damage exists. Images and personal data are used and retained for performance, administration and disputes in accordance with the privacy notice.
Insurance information
Obtain separate confirmation of additional own-damage or cargo cover. A Dutch one-day registration does not authorise an international journey.
Conditions by service.
14. Vehicle registration and documents
Nordlane performs the registration process agreed in the quotation with the aim of obtaining a Dutch registration. This includes the agreed document review, application and assistance with inspection and registration. Required technical modifications, tests and retests and their estimated costs are described in the quotation. Any vehicle-specific uncertainties, exceptions or limitations concerning approval are expressly identified in the quotation before acceptance. The quotation records the work and outcome agreed. The competent authority carries out formal approval and registration.
15. Import, export and transport
The quotation specifies the route, transport method, collection and delivery locations and responsibility for customs, taxes and temporary documents. The customer supplies keys, instructions and known-defect information and removes loose valuables. Nordlane uses the vehicle only for agreed transfers, inspections and necessary functional tests. Starting and ending mileage are recorded and extra journeys explained. Other use requires separate approval.
16. Purchase assistance by arrangement
Nordlane acts within the written authority and budget agreed with the customer. Purchasing, paying deposits or accepting further obligations requires prior approval. The purchase contract is with the seller. A visual review and photographic record do not guarantee mileage history, absence of hidden defects or title. An independent technical pre-purchase inspection is recommended and agreed separately. Nordlane remains responsible for exercising due care in its own assistance.
17. Valuation and technical reports
The report states its purpose, valuation or inspection date, information used and limitations. A valuation is a reasoned opinion at that date; an inspection report covers the agreed inspection scope. Acceptance by an insurer, tax authority or registration authority is not guaranteed. Hidden or unexamined components are not treated as approved.
18. Advice and tax assistance
Advice is based on the agreed question and available information. Nordlane does not guarantee the lowest tax or a fixed Dutch BPM outcome. Taxes and duties are included only when expressly quoted. Incorrect information and changes are discussed promptly; Nordlane remains responsible for its own attributable errors.
If a vehicle is unsafe
Nordlane may suspend performance for stated reasons. Repairs, alternative transport or revised scheduling are discussed first. Only reasonable, evidenced and contractually payable additional costs are charged; costs caused by Nordlane’s own error are not passed on to the customer.
Costs, scheduling and cancellation.
19. Price and additional work
The quotation specifies included Nordlane work, transport, inspections, documents and any taxes. Consumer prices include VAT and unavoidable charges; business prices clearly state VAT treatment. Before additional work, the customer receives a description and price estimate and gives written approval. In an immediate safety emergency, Nordlane may take only reasonable necessary measures to limit damage and informs the customer as soon as possible.
20. Payment and other charges
Payments and advances follow the quotation and invoice. Unannounced fixed surcharges are not added afterwards. Agreed storage, waiting, recovery or retesting costs are itemised. Statutory rules govern default, interest and debt collection; mandatory consumer notices and periods are observed. Suspension must not create an unsafe situation.
21. Scheduling
Quoted lead times are estimates unless a binding deadline is expressly agreed. Scheduling depends on complete documentation, vehicle condition and inspection-authority availability. Nordlane promptly reports delays and expected consequences. Reliance on third parties does not automatically remove Nordlane’s own responsibility. Statutory remedies for breach or delay remain available.
22. Customer cancellation
On cancellation, Nordlane charges only amounts to which it is entitled under the contract and applicable law. Completed work and unavoidable external costs are substantiated, taking account of savings and statutory termination rights. There is no automatic penalty or automatic entitlement to the full quotation amount.
23. Consumers: right of withdrawal
For distance or off-premises consumer service contracts, a 14-day withdrawal period generally applies from conclusion of the contract. Advance information and a model withdrawal form are supplied. Work starts within that period only at the consumer’s express request. On withdrawal, a proportionate charge for work already supplied is payable only where statutory information and consent conditions are met. The right is lost on full performance only with the required prior consent and acknowledgement.
Business customers and consumers
A general 24-hour cancellation period does not replace statutory consumer rights. Business customers do not automatically receive consumer rights. Whether you are a consumer or business customer depends on the capacity in which you give the assignment; language preference does not determine this.
Damage, care and responsibility.
24. Due care
Nordlane performs with the care reasonably expected of a competent service provider. The customer remains responsible for accurate information and disclosing known defects. Nordlane must not drive an unsafe vehicle even if the customer permits it. Passing an inspection is not a guarantee against later faults.
25. Liability
Nordlane is not liable merely because pre-existing damage, wear or a latent defect is discovered. If an attributable Nordlane error causes or worsens damage, liability is assessed under applicable law. There is no blanket exclusion of its own errors, personal injury or mandatory rights. Any business-customer liability cap will be drafted as a separate reasonable provision only after review of the contractual role and insurance policy.
26. External carriers and mandatory transport law
The parties record in advance whether Nordlane is the carrier or only arranges carriage on the customer’s behalf. If Nordlane undertakes the carriage obligation, that responsibility cannot be excluded merely by subcontracting. Mandatory CMR Convention provisions apply where international road carriage of goods falls within its scope; other carriage is governed by its applicable rules. These terms do not reduce that protection. Driven delivery of a vehicle on its own wheels requires separate legal assessment.
27. Reporting damage
Visible damage is noted at handover and reported as soon as possible to Nordlane and, where relevant, the carrier. Damage found later is reported without undue delay after discovery, with photographs and a description. Preserve evidence and allow investigation before repairs, except for necessary emergency measures. Statutory complaint, evidence and limitation rules, including any CMR deadlines, remain applicable; there is no automatic 24- or 48-hour forfeiture period.
28. Governing law and disputes
Dutch law governs the contract, without depriving a consumer of mandatory protection available under applicable international rules. Complaints are first submitted to Nordlane in writing. If unresolved, the court with jurisdiction under applicable law is competent. Translation does not remove statutory protection.
